1. Privacy Policy
This Privacy Policy explains how InspectionPass (“we”, “us”, “our”) collects, uses and protects your personal data when you visit inspectionpass.co.uk, download a free resource, or purchase a toolkit. We are the data controller for the information described below.
What we collect
- Contact details: name and email address, when you download a free resource or make a purchase.
- Order information: what you bought, the price paid, and the date, held by our payment provider and, where applicable, our sales platform.
- Technical data: IP address, browser type, device type, and pages visited, collected automatically via cookies and analytics (see our Cookie Policy).
- Communications: any emails or messages you send us, and your marketing preferences.
- Sector selection: whether you identify as a supported living manager, care home manager, or both, so we can send you relevant resources.
How we use it
- To deliver the free resource or toolkit you have requested or purchased.
- To process payment and provide order confirmation and support.
- To send you relevant follow-up emails about the toolkit, where you have consented to marketing, or where it is necessary to fulfil your order.
- To improve our website and products, and to measure the performance of our advertising, including LinkedIn Ads.
- To comply with our legal and tax obligations.
Our lawful basis
Contract: processing your order and delivering what you purchased.
Consent: sending you marketing emails, and using non-essential cookies and advertising pixels. You can withdraw consent at any time.
Legitimate interests: improving our website and understanding how our marketing performs, balanced against your right to privacy.
Legal obligation: keeping financial records for tax purposes.
Who we share it with
We do not sell your personal data. We share it only with the service providers who help us run InspectionPass, including:
- Our payment processor (Stripe and/or our chosen sales platform), to take payment and deliver files.
- Our email marketing provider, to send confirmation emails and, where you have consented, follow-up content.
- Our website hosting provider.
- LinkedIn, where you have consented to advertising cookies, for the purpose of measuring ad performance.
- HMRC or other authorities, where we are legally required to.
Each of these providers is contractually required to protect your data and only use it for the purpose we specify.
How long we keep it
- Order and financial records: 6 years, in line with UK tax record-keeping requirements.
- Marketing email list: until you unsubscribe, or up to 24 months of inactivity, whichever is sooner.
- Website analytics: as set by our analytics provider, typically 14–26 months.
Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you.
- Correct inaccurate data.
- Request deletion of your data (“right to be forgotten”), subject to our legal obligation to retain financial records.
- Object to or restrict how we use your data.
- Withdraw consent to marketing at any time, by using the unsubscribe link in any email or contacting us directly.
- Data portability, and to lodge a complaint with the Information Commissioner’s Office (ico.org.uk) if you believe we have mishandled your data.

International transfers
Some of our service providers (for example, our email platform or hosting provider) may process data outside the UK. Where this happens, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses or an adequacy decision.
Children
Our products and website are intended for business use by adults working in the care sector. We do not knowingly collect data from children.

These Terms & Conditions govern your purchase and use of any InspectionPass toolkit, template, or resource (“the Products”) from inspectionpass.co.uk. By purchasing or downloading a Product, you agree to these Terms.
Who we are
InspectionPass is an independent business providing compliance-readiness toolkits for UK adult social care providers. InspectionPass is not affiliated with, endorsed by, approved by, or connected to the Care Quality Commission (CQC) or any other regulator.
What you are buying
Our Products are digital toolkits comprising checklists, guides, templates and related materials, delivered as downloadable PDF and/or Excel files. No physical goods are shipped. Products are delivered by instant digital download or emailed link following successful payment.
Licence to use
When you purchase a Product, we grant you a non-exclusive, non-transferable licence to:
- Use the Product within your own care service or organisation.
- Adapt and complete the templates for your own internal use.
- Print copies for use within your own service.
You may not:
- Resell, redistribute, share, or publish the Product, in whole or in part, to any third party.
- Use the Product to create a competing product or service.
- Remove our branding or claim the Product as your own work.
If you operate multiple services or locations under one organisation, contact us before purchase to discuss multi-site licensing.
Not professional advice
Our Products provide general information and templates to support CQC inspection readiness. They are not regulatory, legal, clinical or professional advice, and must not be relied on as such. You are responsible for verifying content against current CQC guidance, legislation, your local authority’s procedures and your own policies before relying on it. Some areas (including but not limited to fire safety, mental capacity, deprivation of liberty, tenancy, contract terms and data protection) require review by an appropriately qualified professional before use. Using our Products does not guarantee any inspection outcome, rating or regulatory result.
Pricing and payment
Prices are shown at checkout in GBP and include VAT where applicable. Payment is taken in full at the time of purchase via our payment provider. We reserve the right to change prices at any time; the price you pay is the price shown at the time of your order.
Limitation of liability
To the fullest extent permitted by law, InspectionPass accepts no liability for any loss, damage, regulatory action, or other consequence arising from your use of, or reliance on, our Products. This includes, without limitation, any inspection rating, enforcement action, or financial loss. Nothing in these Terms excludes or limits liability that cannot be excluded or limited under English law, including liability for death or personal injury caused by negligence, or fraud.
Intellectual property
All content, branding, design and materials in our Products remain the intellectual property of InspectionPass. The licence in these Terms does not transfer ownership.
Changes to Products
We may update our Products from time to time to reflect changes in guidance or to improve content. Where we make a material update, we will aim to notify past purchasers where reasonably practicable, but we are not obliged to provide free updates indefinitely.
Governing law
These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

Your right to cancel
Under the Consumer Contracts Regulations 2013, you normally have 14 days to cancel an online purchase. However, because our Products are digital content delivered immediately on payment, this right ends once download has begun.
By completing your purchase and ticking the confirmation box at checkout, you expressly request that we begin delivering your digital download immediately, and you acknowledge that you lose your right to cancel once download has started.
Faulty or inaccessible files
If a file you purchased is corrupted, missing, or you are unable to access your download, contact us within 14 days of purchase and we will resend or repair the file at no cost.
Refunds at our discretion
Outside of the situation above, refunds are considered on a case-by-case basis. If you are unhappy with your purchase, contact us within 14 days and we will do our best to help — including answering questions about the content or offering guidance on how to use it — before any refund decision.
How to request a refund
Email us using the details in Section 5 with your order reference and the reason for your request. We aim to respond within 2 business days.
